Privacy Policy
This policy explains what information the ApplyRight app holds about you, why we hold it, who can see it and the choices you have. It applies to the app on the web at portal.applyright.net and on iPhone and Android.
1. Who we are
ApplyRight is a job search service provided by Whitecollars Consultancy Ltd, a company registered in England and Wales (company number 11478911), registered office 20-22 Wenlock Road, London N1 7GU, United Kingdom. We are registered with the UK Information Commissioner's Office as a data controller, registration number ZB175083. In this policy "ApplyRight", "we" and "us" mean Whitecollars Consultancy Ltd.
We are the controller of the personal information described here, which means we decide how it is used and we are responsible for protecting it.
The app is available only to people who have bought an ApplyRight package and have been invited by us. Our website applyright.net has its own privacy policy, which covers visits to the website and purchases made there.
2. What we collect
Account and contact details
Your name, email address and phone number; the sign-in method you use (email and password, email link, Google or Apple); and the dates and times you sign in. If you sign in with Google or Apple, we receive your name and email address from them, never your password.
Your ApplyRight service
Your package, its start and end dates, your consultant, the progress of each service (CV, LinkedIn profile, interview preparation), and the job applications we submit for you: job title, company, location, job post link, dates, how we applied and the latest status, including any response from the employer.
Your job search brief
What you tell us so we can search for the right jobs: your name as it appears on your documents, nationality, date of birth, marital status, country and city of residence, residence permit status, address, target roles, preferred and excluded companies, locations and industries, willingness to travel or relocate, current and expected salary, benefits and notice period. You may also upload a photo and your certificates.
We do not ask for your national ID number, passport number or copies of identity documents in the app. If an employer needs them, your consultant will ask you directly.
Messages, files and feedback
The messages you exchange with the ApplyRight team, the files you or we share in the chat, your feedback on applications (for example "Good fit" or "Not suitable") and your approvals or change requests on CV and LinkedIn drafts.
Meetings
Meetings you book with your consultant: the type, date and time, the video call link and whether the meeting took place. A calendar invitation is sent to your email address.
Your settings
Your language, appearance (light or dark) and notification choices, and any details you add to your profile, such as your LinkedIn address, current city and target role.
Technical information
If you switch on phone notifications, we store a notification address for your device, created by your device's notification service, together with your device and browser type. Our hosting providers process your IP address and similar connection details to keep the service secure. The app reads your device's time zone to show times in your local time, but does not store it.
The app does not use advertising or analytics cookies and does not track you across other apps or websites. It saves a few settings on your device (your sign-in session, language, appearance and chart choices) so the app works as expected.
Information you should not send us
We do not need information about your health, religion, ethnicity, political opinions, sex life or criminal record. Please do not include it in messages or files unless an employer specifically requires it and your consultant has asked for it.
3. How we use it and why
| What we do | Why we are allowed to |
|---|---|
| Deliver the job search service you bought: write your CV and LinkedIn profile, find and apply for suitable jobs, prepare you for interviews, and show you the progress in the app. | To perform our contract with you. |
| Send your details to employers and recruiters when we apply for a job for you. | To perform our contract with you, as authorised in our Terms and Conditions of Service. |
| Let you chat with the team, book meetings and send you service updates by email and notification. | To perform our contract with you. You can switch off email and phone notifications in Account. |
| Keep the app secure, prevent misuse and fix problems. | Our legitimate interest in running a secure service. |
| Check the quality and pace of our work, for example how many applications we submit each week, and train our team. | Our legitimate interest in delivering a good service. |
| Keep records we are required to keep, respond to legal claims and answer requests from authorities. | To comply with the law and our legitimate interest in defending legal claims. |
We do not sell your information, we do not use it for advertising and we do not send marketing through the app. We do not make decisions about you that have legal or similarly significant effects by automated means alone.
4. Who can see it
- You. Only you can sign in to your account.
- The ApplyRight team. Your consultant and the team members who support your service, such as a colleague covering while your consultant is away, and managers who oversee quality. Each person can see only what their role requires.
- ApplyRight ambassadors. If you were referred to ApplyRight by one of our ambassadors, they can see a summary of your progress: your package, status and week, and the number of applications, employer responses and interviews, together with the status of your CV and LinkedIn profile. They cannot see your messages, job search brief, documents or the details of individual applications.
- Employers and recruiters. When we apply for a job for you, we send the information the application needs, usually your CV and contact details, and answers to the employer's questions. After that, the employer handles your information under its own privacy policy.
- Service providers who work for us. Secure hosting and database services, content delivery, email delivery, calendar and video meetings, the notification services of your device's maker (for example Apple or Google), sign-in with Google or Apple, and the internal systems we use to manage our work. They may use your information only to provide their service to us and must keep it secure.
- Professional advisers such as lawyers, accountants and insurers, where needed.
- Authorities when the law requires it.
- A buyer of our business, if all or part of it is sold, under the same protections.
5. Where it is stored
The app's database and files are stored in the United Kingdom (London). Some of our team members work from outside the United Kingdom, including Egypt, and some of our service providers are based in the European Union or the United States.
When your information is accessed from or sent to another country, we protect it with the safeguards required by UK data protection law, such as UK adequacy regulations or the International Data Transfer Agreement and Addendum approved by the UK Information Commissioner. You can ask us for more details.
6. How long we keep it
- While your package is active, we keep everything described above so we can deliver your service.
- After your package ends, we keep your account for 12 months so you can come back, extend your package or ask for your records. We then delete your account, brief, photo, certificates, messages and files, or anonymise them so they no longer identify you.
- If you ask us to delete your account, we do so within one month, as explained on our account deletion page.
- Records we must keep by law, such as invoices and payment records, are kept for six years. They are held in our accounting systems, not in the app.
- Backups of the database are overwritten automatically within 30 days.
7. How we protect it
- All connections to the app are encrypted, and stored data is encrypted by our hosting provider.
- Access rules in the database make sure you see only your own information, and each team member sees only the clients their role allows.
- Files are private and opened through links that expire after a short time.
- Team members are bound by confidentiality, and we have procedures to deal with any suspected data breach, including telling you and the regulator when the law requires it.
8. Your rights
You have the right to:
- get a copy of the personal information we hold about you;
- ask us to correct information that is wrong or incomplete;
- ask us to delete your information;
- ask us to limit how we use it, or object to uses based on our legitimate interests;
- receive the information you gave us in a format you can take elsewhere.
You can change most of your details yourself in the app. For anything else, email info@applyright.net from the email address linked to your account. We reply within one month and there is normally no charge. We may ask you to confirm your identity first.
If you are unhappy with how we handle your information, please tell us first so we can put it right. You can also complain to the UK Information Commissioner's Office (ico.org.uk) or to the data protection authority in the country where you live.
9. Notifications and device permissions
Phone notifications are optional. The app asks for permission only when you switch them on in Account, and you can switch them off there or in your device settings at any time. The app uses your camera or photo library only when you choose to upload a photo or file. It does not use your location, contacts or microphone.
10. Age limit
ApplyRight is for adults looking for work. The app is not intended for anyone under 18, and we do not knowingly collect information from children.
11. Changes to this policy
If we change this policy, we will update the date at the top and tell you in the app. If a change significantly affects how we use your information, we will ask you to review it before you continue.
